Travel expense reporting in a company: how to do it step by step
You come back from a business trip with a wallet full of receipts and, at month-end, Finance asks for invoices that can no longer be issued. Travel expense reporting exists to prevent that. Reporting travel expenses means giving the company the list of trip expenses with the CFDI (Mexico's electronic invoice) for each one, or the foreign receipt, within the deadline set by its policy.
If a travel expense is not supported, the company cannot deduct it and it may become taxable income for the person who traveled, according to Mexico's Income Tax Law (Ley del ISR).
Key takeaways
Travel expense reporting means giving the company the list of trip expenses with the XML of the invoice for each one, issued to the company and within the deadline in its policy. Without that invoice, the expense is not deductible.
What supports a travel expense is the XML of the invoice; the PDF and the receipt are not enough for the SAT.
The law sets no deadline to report travel expenses: each company's policy does, and each merchant decides how long it will invoice a receipt.
Travel expenses are deductible only if they are incurred more than 50 km from the workplace, under article 28 of the Income Tax Law.
On business trips within Mexico, meals are deductible up to MXN $750 per person per day, excluding VAT, and car rental up to MXN $850; lodging has no daily cap.
An unsupported travel expense cannot be deducted and may become taxable income for the person who traveled.
How to report travel expenses step by step
Travel expenses are reported in two parts: the traveler submits the trip report with the invoice for each expense, and Finance reviews it and reconciles it against the advance.
What the traveler does
Request the advance before leaving, with the purpose, destination, dates and amount.
Ask for an invoice issued to the company for every expense.
If the merchant cannot invoice on the spot, keep the full receipt to request it later.
Build the expense report: date, concept, merchant, amount and the tax folio (UUID) of each invoice.
Submit it with the XML and PDF of each invoice.
What Finance does
Validate each invoice in the SAT CFDI verifier and check it against the policy and the caps.
Reconcile against the advance: whatever is left over is returned and any shortfall is reimbursed.
Record the trip and keep the file for five years.
To request the invoice, the traveler needs four company details: RFC (tax ID), legal name, zip code and tax regime. They are on the company's Constancia de Situación Fiscal (tax status certificate). For the CFDI use, the usual choice is G03 «Gastos en general» (general expenses).
Which documents support and justify travel expenses
What supports a travel expense is the invoice issued to the company, and what counts in that invoice is the XML. The trip request and the expense report justify that the expense was for work, but they do not replace the invoice.
Document | What it is for | Does it support the expense? |
|---|---|---|
Invoice XML | It is the invoice with tax validity | Yes |
Invoice PDF | Reading the invoice | No |
Receipt | Requesting the invoice later | No |
Trip request | Proving it was a business trip | No, it justifies it |
Expense report | Gathering all trip expenses | No, it justifies it |
Account statement | Proving how it was paid | No, it complements it |
Is the invoice PDF enough?
No. What counts for the SAT is the XML. Always request it and validate its tax folio in the SAT verifier.
Does a receipt support a travel expense?
It helps you request the invoice, but it does not replace it. Request the invoice the same day and, if you can't, keep the receipt until you get it.
How long do you have to report travel expenses?
The law does not give the traveler a deadline to report. That deadline is set by each company's travel expense policy.
The tightest deadline is the merchant's. Each merchant decides how long it will invoice a receipt, and says so on its invoicing portal. If your policy gives 30 days to report, an expense from the 28th submitted on the 20th of the following month may no longer be invoiceable.
That is why Finance ends up chasing receipts at month-end. To avoid it, put in writing in your travel expense policy:
How many days there are to submit the report after the trip.
That the invoice must be requested on the day of the expense.
What happens with anything submitted late.
Daily caps checked when reporting travel expenses
When reporting, Finance checks that the expense was incurred more than 50 km from the workplace, that it has an invoice and that it does not exceed the daily caps in article 28, section V, of the Income Tax Law. These are the caps for trips within Mexico:
Concept | Daily cap |
|---|---|
Meals | $750 per person, excluding VAT |
Car rental | $850 |
Lodging | No daily cap |
Meals are deductible if they come with the hotel or transportation invoice. Abroad the caps are different; confirm them with your accountant.
How the expense was paid also matters. Expenses over $2,000, and fuel of any amount, are deductible only if paid by card, transfer or check, not in cash.
Each company deducts differently depending on its tax regime and activity, so use the table as a reference and confirm it with your accountant. For the bigger picture, see the types of expenses a company can invoice.
Travel expense report example for a two-day trip
A sales rep travels for two days and one night in a company car to a city more than 50 km from the office. She carries a $6,000 advance on a company debit card and pays for everything with it. She asks for an invoice for every expense except parking. The amounts are hypothetical, in Mexican pesos, and include VAT. The meal cap is calculated excluding VAT, so with VAT meals fit up to $870 per day ($750 plus 16%).
Expense | Amount | Meets the requirements |
|---|---|---|
Hotel, 1 night | $1,800 | $1,800 |
Meals, day 1 | $620 | $620 |
Meals, day 2 | $980 | $870 |
Tolls | $480 | $480 |
Fuel | $1,100 | $1,100 |
Parking, receipt only | $150 | $0 |
Total | $5,130 | $4,870 |
What explains each difference:
Meals on day 2: $110 go over the cap ($870 with VAT).
Parking: no invoice was issued, so it is not deductible.
The reconciliation looks like this:
Advance: $6,000.
Total spent: $5,130.
Balance returned to the company: $870.
Meets the requirements: $4,870. The remaining $260 are not deductible ($110 in meals and $150 in parking).
The $110 in meals were actually spent on the trip. The company's policy decides whether it covers them, even if they are not deductible.

What happens to unsupported travel expenses?
The company cannot deduct them and, for the person who traveled, they may become taxable income. That is why it pays to close each trip with all its invoices before month-end.
How to invoice the expenses of a business trip
Trip expenses are invoiced by requesting the invoice in the company's name, at the register or on the merchant's invoicing portal, within the deadline that merchant gives. If the traveler paid with their own money, the invoice is still requested in the company's name.
On the road, the most common expenses already have their own guide:
How to get the trip's invoices without chasing receipts
Travelers run into portals that ask for different details and rarely have the company's RFC at hand. Finance gets all the receipts together at month-end, some already past the deadline.
That is what Zumma is for: Mexican software that gets the invoices for your team's expenses from a photo of the receipt. The traveler sends the photo to Zumma on WhatsApp, with nothing to install. Zumma requests the invoice in the company's name, and the PDF and XML arrive in Finance's dashboard, ready to reconcile the trip.
For Zumma to request the invoice, the receipt photo needs to look like this:
Photograph the whole receipt, with no wrinkles or cut-off edges.
Check that all the information is visible and the photo is in focus.
If a detail is on a separate slip (for example, the invoicing folio), include it in the same photo.
Send one photo per receipt.
